Is Ona HIPAA compliant?

Yes. Ona is fully HIPAA compliant (HIPAA is the Health Insurance Portability and Accountability Act, the US law protecting patient health information): patient data is encrypted in transit and at rest, messaging and video calls are end-to-end encrypted with immutable audit trails, and role-based access controls limit who sees what. A BAA (business associate agreement) is in place with every Ona workspace.

Do I pay extra for AI features?

No. AI-powered questionnaires, conversational assessments, note drafting and all other AI capabilities are included in the base plan at no extra cost. The only separately priced AI add-on is the AI receptionist at $499 per month, which includes 1,500 minutes of calls.

How long does it take to switch from my current system?

Ona's team exports and imports your data from any EHR or practice management tool at no cost, within one business day. Ona reports that a full migration and cutover typically takes 1–3 weeks for smaller practices. You can run the 14-day free trial alongside your current system before you commit.

Does Ona handle insurance billing and claim denials?

Yes. Ona verifies patient eligibility in real time before the visit — coverage status, co-pay, deductible and out-of-pocket maximum on the patient record — then generates the claim from the signed note and submits it through an integrated clearinghouse. Every claim is tracked from draft to payment in one queue, where denials and resubmissions are handled, and Medicare and Medicaid are supported for both eligibility and claims.

Does Ona work for group practices and multi-location clinics?

Yes. Ona scales from solo clinics to enterprise systems: shared team calendars, role-based access, location-scoped team channels and per-provider reporting keep multiple providers and sites on one system instead of five. Practices with 5 or more practitioners get a tailored plan.
